How do you ship a laptop?

Back up and power down, remove or secure accessories, wrap the device with the screen protected, then suspend it inside an inner box and put that inside an outer box with a cushioned gap on all six sides. The device must never touch an outer wall. Impact reaches a laptop through the box wall it is resting against.

What are the battery rules?

Lithium batteries are the part of an electronics shipment most people get wrong, and the rules depend on whether the battery is installed in the equipment.

USPS permits lithium cells and batteries properly installed in the equipment they operate to be mailed domestically, subject to per-mailpiece limits in Publication 52, section 349.2. Mailpieces must bear the DOT-approved lithium battery mark on the address side.

Two cases change the answer. If you are mailing spare batteries not installed in equipment, different and stricter restrictions apply; see how to ship lithium batteries. And USPS states that if you are mailing pre-owned, damaged, or defective electronic devices containing or packaged with lithium batteries, you must send them via ground transportation, as they are prohibited in air transportation. That covers most refurbished and repair-return traffic.

Limits differ by battery chemistry and by service. Confirm the current per-mailpiece limits in USPS Publication 52 section 349.2 for your specific device, and check your carrier's requirements if you are not shipping USPS.

How do you pack a laptop step by step?

  1. Back up the data and sign out of device-locking services. This is not packaging advice, but it is the failure that actually costs people money.
  2. Power down fully. Not sleep. A machine that wakes in a sealed box generates heat.
  3. Protect the screen. A soft sheet between screen and keyboard, then close the lid. Debris trapped on the keyboard is a classic cause of a scratched panel.
  4. Bag the device against moisture and static.
  5. Wrap on all faces, with extra at the corners.
  6. Inner box, snug. The wrapped device should not move inside it.
  7. Outer box, with a gap. At least two inches of cushioning between inner and outer on every side. This gap is the whole point of double boxing.
  8. Cables and accessories bagged separately so a power brick cannot swing into the screen.
  9. Mark and label including the DOT-approved lithium battery mark on the address side where required.

Desktops, monitors and all-in-ones

ItemMain riskPack note
LaptopScreen crack, hinge stressDouble box, screen sheet, no pressure on the lid
Desktop towerHeavy components tearing loose insideRemove or brace the GPU and any heavy cooler; ship the tower upright
Monitor or all-in-onePanel flex and crackingShip in its original moulded insert if you have it, upright, never flat
Small form factor PCCorner impactStandard double box works well

The single most common desktop failure is a heavy graphics card or cooler flexing on its slot during transit and damaging the board. If a component is heavy and cantilevered, brace it or remove it and pack it separately.

What packaging does Teal make?

Teal makes custom electronics packaging and custom corrugated mailer boxes to your device dimensions, printed, from a 50-unit minimum order quantity (specialty rigid from 100). Volume pricing runs from about $0.44 per unit, dieline design is free, and every order includes two revision rounds and free US shipping.

Brief the device dimensions plus the accessory kit. Most electronics dielines fail because the charger, cable and documentation were not in the original measurement, and a retrofitted accessory cavity weakens the structure.

Common failures

  • Single boxing. No cushioned gap means impact reaches the device directly.
  • Loose accessories. A power brick moving inside the box is a hammer.
  • Air shipping a defective device with a lithium battery. Prohibited by USPS; ground only.
  • Monitor shipped flat. Panels crack under face load and survive edge load.

Shipping devices at volume

Refurbishers and device brands can have Teal supply the printed packaging and run kitting, pick, pack and ship from West Chicago, Illinois. See print, fulfill and ship with Teal, the fulfillment and 3PL hub, and ship with Teal. Request a quote.

Production Checklist

How to Plan How to Ship a Laptop or Computer

Use this page to brief Teal before quoting. The strongest custom how to ship a laptop or computer requests include structure, size, artwork stage, material target, quantity, ship-to country, and any compliance or retail display needs.

1. Confirm structure and fit

Share the packed product size, preferred box style, insert needs, and whether the package ships directly or sits on a retail shelf. If you are unsure, Teal can suggest a mailer, folding carton, sleeve, rigid setup box, tray, or insert direction.

2. Choose board and finish

Match the material to weight, shipping risk, shelf life, and brand feel. Common choices include kraft, SBS, corrugated, rigid board, recycled paperboard, matte lamination, gloss lamination, foil, embossing, debossing, and spot UV.

3. Prepare artwork and proofing

Upload logos, dielines, color references, barcodes, warnings, ingredient panels, or compliance copy before proofing. Teal checks print placement, bleed, safe zones, panel orientation, and finishing details before production starts.

4. Lock quantity and timeline

Quote accuracy improves when you include target quantity, launch date, shipping destination, and rush requirements. Standard production can begin after proof approval, and sample kits help compare materials before a larger custom order.

For faster pricing, include photos of your current packaging, competitor references, retail display rules, shipping carton requirements, and any sustainability goals. Teal can quote the closest production-ready option first, then refine dielines, inserts, coatings, print coverage, and carton strength after your team reviews the proof.

Common Questions

Frequently Asked Questions

Answers about how to ship a laptop or computer, materials, lead times, and ordering.

USPS permits lithium cells and batteries properly installed in the equipment they operate to be mailed domestically, subject to per-mailpiece limits in Publication 52 section 349.2, and mailpieces must bear the DOT-approved lithium battery mark on the address side.

No, through USPS. USPS states that pre-owned, damaged or defective electronic devices containing or packaged with lithium batteries must be sent via ground transportation and are prohibited in air transportation. Check your carrier's requirements for other carriers.

Yes. A wrapped device in a snug inner box, inside an outer box with at least two inches of cushioning on all six sides. The cushioned gap is what absorbs impact; without it, a drop transfers straight through the box wall to the device.

Put a soft sheet between the screen and the keyboard before closing the lid, so trapped debris cannot press into the panel, and pack so nothing rests on the closed lid. Never let a heavy accessory such as a power brick travel loose in the same box.

Upright, with heavy cantilevered components such as a graphics card or a large cooler braced or removed and packed separately. Those components flexing on their slot during transit is the most common cause of desktop shipping damage.

Plan Sizing and Materials

Before requesting a quote, use the box size and dimensional weight calculator to estimate billable weight and the eco-friendly packaging material selector to narrow kraft, SBS, corrugated, rigid board, and molded fiber options.
